Refund & Cancellations Policy

 

To ensure refund and cancellation requests are handled fairly, flexibly, and in a timely manner, in line with Skate Canada’s recommendations and Skate Wheatley’s commitment to accessibility. This policy applies to all regular Skate Wheatley programs and special events.

General Principles:

  • Refund requests must be made in writing to the Board; the date received is used to assess eligibility

  • Refunds are considered case by case and decided at the next Board meeting after receiving the written request

  • All refunds will have an administrative charge deducted:

    • Skate Canada fees paid at registration (non-refundable)

    • Club administration fee ($25)

  • Refunds are pro-rated based on the number of sessions that took place before the request was received, whether or not the skater attended

 


 

Refund Requests:

Refunds (minus administrative charge) will be granted if:

  • The request is made within two (2) weeks of the program’s start date

    • These requests do not need Board approval and are not pro-rated

  • The request is due to medical reasons:

    • Must be for absences of more than six (6) consecutive sessions or days

    • Must include a medical note (kept confidential)

  • The request is due to extraordinary circumstances beyond the skater’s control (e.g., family illness, moving away)

Requests made after three (3) weeks from the program’s start may still be considered by the Board on a case-by-case basis. The Board may approve or decline any refund request based on circumstances.

 


 

Special Cases:

  • “Trial Period” (first-time Pre-Can / CanSkate): Up to three (3) consecutive trial Saturdays from registration to decide if the skater will continue; Refund = total paid minus Skate Canada fee and $25 admin fee

  • Club - Cancelled Programs or Sessions:

    • Full/Pro-rated refunds offered if the Club cancels or changes a program

    • If make-up sessions are offered and the skater chooses not to attend, a refund is not automatic; a written request must be submitted

  • Weather / Mechanical Issues / Arena Closures (up to 1–3 consecutive sessions):

    • Refunds will not be provided

  • Extended Closures (more than 6 consecutive sessions):

    • Make-up sessions or pro-rated refunds (minus administration charge) may be offered

    • Refunds are based on the number of sessions scheduled before the closure, not on sessions attended

 


 

Ice Cancellations & Schedule Changes:

  • The Club may change, cancel, or reschedule sessions if needed (e.g., low registration, arena needs)

  • Notice will be posted on Club website, Social Media, TeamReach, Email, or Arena Bulletin Board

  • It is the skater/parent’s responsibility to check for updates

  • Refunds will not be issued for missed sessions due to weather, schedule changes, holidays, competitions, test days, tournaments, shared ice conflicts, or other reasons beyond the Club’s control; make-up sessions will not be offered

The Board reserves the right to update this policy when needed.
